How to Present Data Without Losing the Room

Charts that make your point instead of proving you did the work.

The chart that proves you did the work

There is a particular slide that appears in meetings everywhere. Twelve months across the bottom, six coloured lines, a legend in the corner, four decimal places, and a title like Monthly Performance Metrics. The presenter says "as you can see" and nobody can see, because there is nothing to see. There is only everything.

That slide exists for a reason that has nothing to do with the audience. It is there to show that work happened. Somebody pulled the data, cleaned it, and built the chart, and putting all of it on screen feels like the honest thing to do.

It is not honest, it is unfinished. Your job is not to hand over your evidence. Your job is to tell people what your evidence means. A number on a slide with no interpretation is a question you have asked the room to answer for you, and they will answer it wrong or not at all.

In plain English

Axis:
The edges of a chart. The bottom one usually shows categories or time, the side one shows the amount.
Legend:
The little key explaining what each colour means. If your chart needs one badly, it may have too many things in it.
Data point:
One measured value. One month, one region, one customer.
Baseline:
The number you are comparing against, such as last year or the target. Without one, a figure means nothing.

Say what it means, out loud

The single most useful habit in this lesson: never show a number without saying what it means.

Not "revenue was 2.4 million in Q3." That is a reading of the chart, and the room can read. Say "revenue was 2.4 million, which is the first quarter we have beaten target since last summer." Now it means something. There is a baseline, a comparison, and a reason to care.

Do the same on the slide itself. The chart title should be the conclusion, not the contents. "Sales by Region" tells the room nothing. "The north is carrying us and the south is flat" tells them what to look at and why.

What is the single most interesting thing in this data for [an operations director / an investor / my team]? Tell me the one sentence I should say out loud when this slide is on screen. Then tell me which figures here are not worth showing at all. Do not invent any numbers I have not given you.

Choosing a chart without overthinking it

You need four, and the choice is nearly always obvious once you name the question you are answering.

Comparing things side by side: bar chart. Longer bar, bigger thing. It is the most readable chart ever invented and it is criminally underused because it looks plain.

Showing change over time: line chart. Time runs along the bottom, always.

Showing parts of a whole: pie chart, and only if you have three or four slices. With nine slices a pie is decoration. Use a bar chart instead, or just say the two numbers that matter.

Showing one important figure: no chart at all. Put the number on the slide in enormous type with a short line underneath. A single big number is often the most powerful data slide you can make, and it takes two minutes.

Ask yourself what question this chart answers. If you cannot say the question in one line, the chart is not ready. Charts answer questions. They do not store data.

Cut the decimals and the clutter

Nobody in a live audience has ever needed to see 47.283 percent. They needed to see 47 percent, and honestly they probably needed to see "nearly half."

Round hard. Drop the gridlines. Delete the chart border. Cut any series that is not part of your point, even if you spent an hour on it. Label the two bars that matter directly and let the rest sit quietly in grey.

Prompt you can copy: write the one big number slide

The single most important figure in my talk is [the number and what it measures]. Compared against [last year / target / the alternative], it is [higher or lower by how much].

Give me three options for a one-line caption to sit under that number in large type. Under 12 words each, plain language, no jargon. Then give me the sentence I say out loud while it is on screen. Use only the figures above.

Line chart, two lines only: blog and paid ads. Grey out or remove other sources. Mark August where the lines cross. Title: In August the blog overtook paid ads. Round to the nearest thousand and drop the data labels.

One question, one chart, one crossing point, one conclusion in the title. Everything that did not serve the point is gone.

Prompt you can copy: pick and simplify a chart

I want to show that [the point you want to make]. The data I have is [what it measures, over what period, broken down by what]. Audience: [who they are]. Time on this slide: about [40] seconds.

Which chart type, and why that one rather than the alternatives? What should I cut from it? Give me a chart title that states the conclusion in under 10 words.

Never ask an AI assistant to fill in, estimate or extrapolate a number you do not have. It will produce something that looks entirely plausible and is entirely invented. Give it your real figures, ask it what they mean, and check any number in the reply against your own source before it goes on a slide.

One more thing about honesty

You can make a small change look enormous by starting the vertical axis at 94 instead of 0. Sometimes that is a fair way to show meaningful variation. Often it is a way to sell a rise of two percent as a triumph.

The test is simple. If somebody in the room noticed what you had done, would you be comfortable explaining why? If yes, carry on. If you feel a small flinch, start the axis at zero. You are going to be in rooms with these people again.
