Drafting is not sending. Before polishing tone, check what the draft commits the executive to: dates, attendance, prices, permissions and decisions. A polite sentence can still make an unauthorised commitment. Preserve words such as “proposed,” “pending” and “not yet approved” when the source requires them.
Use a three-pass review. First, verify facts against source IDs. Second, highlight every commitment. Third, remove unnecessary private information and check the recipient and attachments. An AI self-check can help locate possible errors, but the same system repeating a claim is not independent confirmation.
Worked example
Unsafe E3 draft: “Approved. Please reserve the order and invoice us for 480 credits.”
Reviewable internal draft to Jules: “The supplier quote expires Wednesday at 12:00 UTC. I’m gathering the delivery date and cancellation terms for your review. No purchase has been approved.” Evidence: E3. No claim that the supplier has been contacted or that details have arrived.
Try it
Write an internal note to Morgan about E6 in no more than 70 words. Identify the request and the decision needed without sharing a budget. Then write a reply draft to Riley about E2 that does not claim a confirmed slot. Label both “Draft for review.”
Optional prompt: “Draft only. Use the supplied facts. Do not invent availability, a decision, an attachment or work already completed. List any commitment implied by your draft underneath it.”
Check your answer — open after your attempt
Possible Morgan draft: “Riley asked for the internal project budget with the meeting invitation (E6). Our exercise policy requires your approval for external replies. Should the budget be shared, and if so which approved version? I have not included it in the proposed reply.”
Possible Riley draft: “Thanks, Riley. We’re checking Tuesday availability for Morgan and Sam within 14:00–16:00 UTC. We’ll confirm a proposed 30-minute time after review.” This is a draft, not a sent promise. Do not imply that the disclosure request has been approved.
