Calendar, Decisions and Handoff · Lesson 5

Build a decision and action log

Separate proposals, decisions, assigned actions and unresolved questions.

Use the practice organisation and source records from lesson 1.

All practice records are synthetic. Work manually or with an optional AI assistant; no paid product, external account or connected inbox is needed.

Meeting notes mix suggestions, decisions, assignments and unknowns. An action needs an owner and a concrete next step. A decision needs evidence that someone actually decided it. If an owner or due date is missing, mark it missing instead of assigning it yourself.

Do not turn “maybe Friday” into a confirmed date. Do not treat the quote's expiry as permission to buy. An executive brief should make the unresolved issue easy to decide, rather than making the decision disappear through confident wording.

Worked example

M1 action: Sam will draft the readiness checklist by Wednesday 15:00 UTC. Source: M1. Status: assigned, completion not recorded.

M1 unresolved question: launch date. Friday is an option only. Required inputs include readiness and Riley's feedback. The record does not state when that feedback will arrive.

Try it

From M1, produce three short sections: decisions or constraints, assigned actions, and open questions. Then audit this faulty summary: “Friday launch confirmed. Jules approved the supplier. Sam completed the checklist. Riley will send feedback tomorrow.” Identify every unsupported claim.

Check your answer — open after your attempt

All four claims in the faulty summary are unsupported. A suitable log records: no launch date chosen; Sam drafts checklist by Wednesday 15:00; Sam gathers delivery/cancellation information for Jules by Tuesday 16:00; supplier approval remains pending; customer feedback is outstanding with no promised due date. Morgan expressed an aim for a small pilot, not an unconditional approval of a detailed launch plan.
